How to include original message in Outlook

Microsoft Outlook users can include the original message while forwarding or replying to an email. The users can choose any one of the following options for original message

  • Do not include original message
  • Attach original message
  • Include original message text
  • Include and indent original message text
  • Prefix each line of the original message 

Listed below are the steps to access the message handling option in Outlook 2013, Outlook 2010 and Outlook 2007

Click File menu, select Options from the list.

In the Outlook Options window, click Mail tab then scroll down Replies and and forwards section.

Use the option “When replying to a message” and “When forward a message” to specify the option for original message.

Using the drop down available under when replying to a message and When forwarding a message, you can choose any of the following values from drop down.

Disable permanently delete items warning message in Outlook

Outlook displays a warning message when deleting outlook emails. It displays a dialog box with message “Are you sure that you want permanently delete the selected items” as shown below

This is very useful warning option for the users before deleting the mail items permanently. But If you do not want to see the permanently deleted warning message then turn off or disable this warning message.

Click on the File menu –> Options and navigate to Advanced tab.

Scroll down to Other section and clear the checkbox with label as Prompt for confirmation before permanently deleting items. Click OK to save the changes.

This warning message can be disabled in Outlook 2007 by using Tools –> Options.

Go to Tools –> Options and select Other tab.

Click on the Advanced Options button. The following Advanced Options window would be displayed.

Uncheck the “Warn before permanently deleting items” to disable the warning message.

Turn off display search as you type in Microsoft Outlook

Microsoft Outlook provides option to display search results as we type the text in search box. This is a useful feature but if you think the real-time search result is a distraction then you can disable “display search as you type” feature using Search options. Listed below are steps to turn off this feature in Outlook 2016, Outlook 2013, Outlook 2010 and Outlook 2007

Click File menu, select Options from the list.

In the Options window, click Search Options and navigate to Results section.

Un mark the check box with caption as “When possible, display results as the query is typed”

And to disable this feature, click on the drop down arrow available in the search box. This would display the following menus

Navigate to Search Options and click it open the Search Option dialog box.

The search section has an option for enabling or disabling the display search results as I type. By un ticking the checkbox this feature can be disabled.

How to recall email message in Outlook

Recall message in Outlook 2016, 2013 and Outlook 2010

Outlook has a feature that lets users to recall a sent message. This can be done by accessing the Recall This Message option available as part of Actions drop down. This feature is quite useful If you had sent an e-mail message to an user with incorrect information and you want to recall that message or resend the e-mail message with correct information.

Step 1: Open the email message which needs to be recalled from the Sent Mail items folder.

Step 2: Navigate to Move section and click Actions dropdown and select Recall This Message… from the menu list

Step 3: In the Recall This Message dialog, select whether you want to Delete unread copies of this message or Delete unread copies and replace with a new message.

If you want to receive any acknowledgement then you can tick the check box with caption as Tell me if recall succeeds or fails for each recipient

In Outlook 2007, Recall This Message option is available as part of Other options. Open the email message that needs to be recalled. Click Other Options and select Recall This Message from the drop down menu list.

On selecting Recall This Message the following dialog box would be displayed

You can select the the following options depending on your requirement

  • Delete unread copies of this message
  • Delete unread copies and replace with a new message

And if you want to receive any acknowledge for deleting the unread copies then you select the checkbox Tell me if recall succeeds or fails for each recipient.

How to change startup folder in Outlook

When we launch Microsoft Outlook, the default startup folder will be Inbox.

The startup folder can be changed to your preferred choice using outlook options menu. Listed below are the steps to change the startup folder in Outlook 2016, 2013, Outlook 2010 and Outlook 2007.

In Outlook 2016, 2013 and Outlook 2010 the startup folder can be using the settings available as part of Advanced Mail options.

Click on the File menu –> Options link and navigate to the Advanced options

In Outlook start and exit section, using the Start Outlook in this folder field you can specify the startup folder. If you want to select a different folder other than Inbox then click on the Browse button and using the Select Folder dialog box you choose the required folder. Click OK button to select the folder. To save the changes, click on the OK button in the Advanced Options screen.

For example, you attend lot of meeting and want to start your day with list of meetings that is scheduled for that day. So you want to have Calendar as the startup folder in Outlook.

Click the File menu –> Options link then click the Advanced tab under Outlook Options window. In the Advanced Options, navigate to Outlook start and exit section.

Click the Browse button and select Calendar from the displayed items.

Then click Ok button to confirm and save the changes. By this way Outlook 2010 users can set Calendar as the startup folder.

Go to Tools –> Options –> Other tab and click on the Advanced button

In the Advanced Options dialog box under General settings, you can specify the value for Startup in the folder

The new folder can be selected using the Browse button.

select the new folder and click OK to save the changes.

How to find mailbox size in Microsoft Outlook

Microsoft Outlook users can find the mailbox size using the option available as part of Mailbox Cleanup. If your organization has set quota for Outlook mailbox then you need to make sure you do not exceed the limit. You can do this by periodically checking the mailbox size and do the necessary clean up activity if the mailbox size is about to exceed.

3 simple steps to manage mailbox size

  • Monitor Mailbox size regularly using View Mailbox size feature.
  • Use Auto Archive option to archive old mails to a .PST files.
  • Empty Deleted item folder.

These steps has to be followed either weekly or monthly or quarterly depending upon number of and size of the emails received. List below are steps to find out mailbox size in Outlook 2013, Outlook 2010 and Outlook 2007

Step 1: Click the File menu and select Info from the menu list.

Step 2: Click the Cleanup Tools option under Mailbox Cleanup section in Account Information screen.

Step 3: Select Mailbox Cleanup from the Cleanup Tools dropdown list.

Step 4: In the Mailbox Cleanup window, click the View Mailbox Size option. This would display the following Folder Size window, with the Total Size including the Size of subfolders.

Outlook 2010

Outlook 2010 users need to follow the above Step 1 and Step 2. Only the mailbox cleanup window in Outlook 2010 is different from that of Outlook 2013.

Clicking on View Mailbox Size button will display the Folder size of your Outlook Mailbox.

Outlook 2007

Mailbox Cleanup in Outlook 2007 can be accessed via the Tools menu.

This provides various option such as View Mailbox Size, finding items based on date and size, Auto Archive option, Empty Deleted Item and View Conflicts Size

Save messages in sent items folder in Outlook

Microsoft Outlook automatically saves the sent messages in sent items folder. But if you do not want to automatically save the sent messages then you can turn off this feature using Outlook Options. Listed below are steps to enable or disable saving copies of messages in Sent Items folder in Outlook 2013, Outlook 2010 and Outlook 2007.

Click the File menu –> click the Options link . In the Options window select the Mail tab and scroll down to Save Messages section.

You can turn off or disable the save sent messages sent items folder by un marking the checkbox with label as Save copies of messages in the Sent Items folder.

The above settings would affect all the message but if you want to specify only for selected messages then you can use the options available as part of Message window.

In the message window, navigate to Options menu then to the more options section.

Click the down arrow available below the Save Sent Item To menu option.

The different options that are available are

Use Default Folder – This would save the sent messages in the default sent items folder.

Other Folder – This allows users to specify the folder where this messages needs to be saved.

Do Not Save – This will not save the sent messages to any folder.

Outlook 2007

In Outlook 2007 to enable or disable “Save copies of messages in Sent Item folder”, Click Tools ->Options  -> Email Options

Under Message Handling section, by checking Save copies of messages in Sent Items folder, messages that are being sent would be saved to Sent Items folder.

How to use Outlook as a RSS reader

There are lot of RSS readers available but if you have already installed Microsoft Outlook (Outlook 2013, Outlook 2010 and Outlook 2007) then you can use that as a RSS reader. Listed below are the steps to add and read RSS feeds In Outlook 2013, Outlook 2010 and Outlook 2007

In Outlook 2013 and Outlook 2010, Click the File menu –> Info and click on the Account Settings

Navigate to RSS feeds tab and click on New link

Enter the RSS feed of a blog or a website. In this example, I am going to enter this tech blog RSS feed.

Click on the Add button to add the RSS feed. The following RSS Feed Options dialog box would be displayed and if you want to change the delivery location of the RSS feed then click on the Change Folder button and specify the desired location. Click Ok to confirm the changes.

How to share RSS feeds in Outlook 2013, Outlook 2010 and Outlook 2007

If you want to quickly mail the configured RSS feed to your email contacts then you can follow the below mentioned steps.

You can share the feed using the Share This Feed option available as part of Context menu or using Office Ribbon

Context menu – Right click on the any one feed post and select Share This feed option from the menu list.

Office Ribbon – Select the feed that you want to share then navigate to RSS section under Home menu and click the Share This Feed option.

This would launch the following Share RSS Feed window where you can enter the recipients email address and email them the feed details.
