Autocorrect in Word – Replace text as you type

Autocorrect in Microsoft Word 2016, Word 2013, 2010 and 2007 has a feature called replace any text as you type. This tutorial provides an example for replacing text with text and image in Word document.

In Word 2013 and Word 2010 you can access Proofing section by clicking File menu –> Options. To access AutoCorrect option in Word 2007 click on the Word Options and navigate to Proofing section.

And on clicking the AutoCorrect Options the following dialog box would be displayed. Under Replace text as you type, you can add the text which needs to be replaced it is typed in the Word Document.

For example if you want dato be replaced with Digital Answers in word document, then add da to the left hand side and Digital Answers to right hand side then click Add button.

How to use autocorrect for replacing text with picture

Step 1: Navigate to Insert menu, click Pictures under illustrations section

Step 2: Using the Insert Picture dialog, select and add image to the document.

Step 3: Click File menu, select Options from the menu list.

Step 4: In Word Option window, navigate to Proofing section and click AutoCorrect Options.

Step 5: Now enter the name under Replace text and make sure Formatted Text radio option is selected. (If you have not selected any image then this option will not be displayed)

Step 6: Click Add button to add the entry to AutoCorrect list. Then OK button on the AutoCorrect and Word Options to close the windows.

Now whenever you type the replace text, it will be automatically replaced with the image. If you are frequently going to insert company logo or your signature then you try this feature.

How to insert numeric symbols in Word

In this tutorial, we are going to see the steps to required for inserting numeric symbols such as

?, ? in Word 2016 and Word 2013. This is in addition to earlier topic related with inserting symbol in a word document.

Step 1: From Home menu, navigate to the Insert menu.

Step 2: Then click the arrow pointing downwards under Symbol option and select More Symbols.

Step 3: In the Symbol window, click Font dropdown and select Yu Mincho from the list.

Step 4: Scroll down the Yu Mincho symbol list and select numeric symbol that needs to be inserted in the document.

You can also note down the shortcut key, if you are repeatedly going to use the symbol.

Remove author name from file properties in Word

Word 2016 & 2013 users have an option to remove the author name that is displayed as part of File Properties. If you have created  a word document, right click on the file and selecting properties > Details tab should display the author’s name.

Similarly if you navigate to File > Info, the Related People section should display the following information.

Listed below are the steps for removing the author’s name from document properties.

Step 1: After Creating/Editing the document, click File menu then Info menu.

Step 2: In the Info screen, navigate to Inspect Document section and select Inspect Document from Check for Issues dropdown.

Step 3: Click the Inspect button in Document Inspector window.

This would start inspecting your document.

Step 4: If your document contains Personal Information like Author then the following warning message will be displayed. Click Remove All button to clear the Document Properties and Author details.

You should see the following “Document properties and personal information were successfully removed” message.

Now if you navigate to Related People section in the Info screen, you will not find Author details.

And the same for the File Properties > Details tab as well (after saving the document with these changes).

What is a status bar in Word document

Microsoft Word 2016, 2013 and 2010 displays a status bar at the bottom of a Word document. Word status bar displays information such word count, page number, line number, zoom, zoom slider, Language and many more details.

These details displayed on the word status bar can be configured by using the Customize Status Bar context menu. The Customize Status Bar can be accessed by right clicking the status bar.

In order to turn on or turn off the display of a feature, You can check or un check on the left hand side of a feature.

Insert currency symbol in Word 2016 & 2013

This tutorial is about the steps required to insert symbols in Word 2016 and Word 2013 document. Let us say you want to include Indian Rupees in the document and want to add Rupee symbol.

Step 1: In the word document, navigate to the place where you want to insert Rupee symbol.

Step 2: Click the Insert menu followed by Symbol drop down under Symbols section.

Step 3: If the Rupee Symbol is not listed in the dropdown list then click the More Symbols option.

Step 4: Select Currency Symbols in Subset dropdown and pick Rupee symbol from the list. Clicking the Insert button should add symbol to the document.

If you are going to be use the symbol frequently then you can assign a shortcut key for the Rupee Symbol. Click the Shortcut Key button and enter a new shortcut key (e.g. Alt+Shift+S) in Customize Keyboard window.

Click the Assign button after entering the Shortcut key. Now if you want to insert rupee symbol in the document then use the Keyboard shortcut (e.g. Alt+Shift+S).

Different ways to link another document in Word

Users of Word 2016 and 2013 can create a link to another document within their document using the Insert Object or Hyperlink feature. This is quite useful when you want to include reference documents inside your document.

Step 1: In the main document, navigate and place the cursor to the position where you want to insert the document.

Step 2: Click the Insert menu then the Object option available under Text section.

Step 3: In the Object window, click Create from File tab and choose the required file via browse button.

Make sure to mark the check box with caption as “Display as icon”. If you want the changes to linked document to be reflected in your document then mark checkbox with label as Link to file.

Step 4: Click the OK button to confirm and save the changes. Now your document will have a link to the other document as shown below

Hyperlink

Another alternate way to link a word document is by creating hyperlink pointing to that document.

Step 1: Access the Insert Hyperlink window via the right click Context Menu or Hyperlink option under the Links (Insert menu)

Step 2: In the Link to section choose Existing File or Web Page then select Current Folder option under Look in section.

Step 3: Give a name to the Linked document by entering the name in Text to display and then pick the required document.

Step 4: Click Ok button to confirm and save the changes.

This should create a link to the document as shown below.

How to print black and white in Word

All programs do not provide option to choose the colour for printing pages. Word 2016 and Word 2013 users can print their coloured document in black and white using the option available as part of the Printer properties.

Step 1: Click the Fie menu and select Print from menu list.

Step 2: Navigate to Printer section and click the Printer Properties.

Step 3: In the Printer Properties window, click the Paper/Quality tab.

Step 4: Navigate to Colour section and mark the radio option with caption as Black & White. Then click OK button to confirm and save the changes.

How to add a new page in Word

This is a short tutorial on Adding or inserting a new page in Word 2016, 2013 and 2010. This can be done using the options available as part of the Insert menu Word. To add a new page in a Word 2010 document, point the cursor to the place where you want to insert a page.

Navigate to the Insert menu and click the Blank Page menu option available as part of the Pages section.

This would insert a new page at place where the cursor placed before.
